This event is for original vehicles. To assist with the smooth running of the event on the day, the following rules and conditions have been established. Historic vehicles of all types built on or prior to 31 December 1994 are eligible to take part. 1. Entrant vehicles parked at the National Motor Museum Finish Festival MUST remain parked until 2:30pm (this time may be altered on the day by event officials). Entrants who do not wish to be parked at the Finish Festival must display their ‘U’ card to indicate to event officials that they do not wish to be parked. ‘U’ cards will be posted to all entrants in their registration packs prior to the event. 2. All motor vehicles must be of substantially original manufacturers’ specifications, roadworthy, and of an acceptable standard of quality* in the opinion of the Organisers. Modifications may be accepted at the discretion of the event Organisers. * Acceptable standard of quality ** Period Correct means that anything fitted to the vehicle, post its sale as a new vehicle, is expected to have been available to fit to the vehicle within five years of the date of manufacture. If you are aware that your vehicle has manufacturer’s options or aftermarket modification of any type, we ask that you supply us with any supporting information that you wish to present to the scrutineering team, at the time of your application. We will work with you to clarify any issues. The scrutineering team decision is final. 3. The onus of proof of date of manufacture is the entrant’s responsibility. If required by the Organisers such proof must be substantiated and be supported by a Statutory Declaration. In the event of false information being supplied the vehicle and entrant will be disqualified from the event and all entry fees forfeited. 4. All motor vehicles must be registered or on permit (including trade plates). 5. All motor vehicles must be driven/ridden by a licensed driver/rider who shall comply with the provisions of the Motor Vehicles Act 1959, as amended. 6. Trailering or towing of any entrant vehicle from the Start to the Finish will result in disqualification. In circumstances such as breakdown, it will be acceptable for the vehicle to be brought to the Finish but it will not be considered to have completed the Bay to Birdwood. 7. All entrants will observe the current road laws and speed limits along the route, in particular, those rules referring to the correct carriage of passengers and the wearing of approved motorcycle safety helmets. 8. Entrants and passengers are subject to the directions and control of the Organisers of the event, their agents and authorised officers. 9. Entries are limited to 1500 vehicles. Should this number be reached at any time leading up to the event, entries will be closed. 10. Payment of entry fees shall be made via the online registration process. Any payment received additional to the prescribed entry fee will be treated as a donation to the event’s charity partner. Any refund, less 10% administration cost, will be made solely at the discretion of the Organisers. Entry fees will not be returned for withdrawal of entries after 15 September 2024. 11. Any entries deemed by the scrutineering team to not be within the spirit of the event will be refunded in full. The decision of the Organisers on whether a vehicle is eligible or not will be binding and final. 12. If the event is cancelled for any reason, entry fees will be refunded in full. 13. Photographs and video footage of all participants and vehicles may be taken by the event organisers and the general public and may be used for publicity and promotional purposes by the History Trust of South Australia and its partners and sponsors. 14. All entrants must supply a photograph of their vehicle with their entry form (a three-quarter view from the front like the example below is preferred). This must be of the vehicle as it will be presented on the day of the event. Additional photographs may be requested for scrutineering purposes. 15. No substitutions of vehicles will be allowed except under the following conditions: a. the substitute vehicle must conform with the requirements of the conditions of entry; b. the substitution is made with the knowledge and approval of the Organisers and may incur additional fees. 16. The Organisers reserve the right to reject or cancel an entry at any time and for any reason. 17. Entry numbers must be displayed on the vehicles to which they have been assigned. 18. Entrants will only be eligible to receive a plaque if they commence from an official start and complete the scheduled route to Birdwood on/in their vehicle and arrive at the Finish before 4.00 pm. 19. Animal policies at each respective event site will be enforced. 20. Entrants conducting themselves in a dangerous manner or in a manner likely to bring the Bay to Birdwood event and its Organisers into disrepute will be disqualified immediately. 21. Towing of a caravan or boat is only permitted if it is of the period and approval is given by the Organisers. 22. The Organisers reserve the right to amend or add to these rules anytime. 1. All vehicles must comply with the conditions of entry. 2. As a Concours d’Elegance Award entrant, your vehicle must be presented in a suitable condition* for the competition. *Suitable condition means a very well-presented and detailed vehicle. It does not mean faded or dirty paint, ripped, torn or badly worn interior, or vehicles in an overall average or poor condition. 3. As a Preservation Award entrant, your vehicle must be presented in a suitable condition* for the competition. *Suitable condition means a well-presented vehicle without restoration or significant modification. Vehicles in an unroadworthy condition will be flagged as such to the Director of Judges by the Chief Scrutineer and may be excluded from the competition. 4. As an EV Conversion Award entrant, your vehicle must have been converted from an original internal combustion engine (ICE) and drivetrain to an electric drivetrain and power source in the time following its initial construction. a. Modifications directly pertaining to the operation of the vehicle as an EV are permitted in this category. These may include (but are not limited to); b. Non-essential modifications are discouraged. These may include (but are not limited to); c. Any other modifications not directly related to the conversion are expected to be Period Correct. 5. At least three photos which clearly display your vehicle as it will be shown on the day must be submitted with your entry form. 6. Drivers/riders must stay with their vehicle until judging is completed on both days, Saturday 19 and Sunday 20 October 2024. 7. Award vehicles must complete the Bay to Birdwood from the West Beach Start to the National Motor Museum grounds on Sunday 20 October 2024 to qualify as winners or finalists in their category. 8. There will be a stage presentation to the winner(s) during the Bay to Birdwood Finish event. 9. Minor modifications aimed at ensuring roadworthiness and safety of the vehicle (e.g., electric starters, seat belts) are permitted. 10. If you decide to withdraw from the award for any reason, please advise the Organisers as soon as possible to avoid any confusion on the day. Refunds of award category fees are not available. 11. Judging will be undertaken by an expert panel. 12. All finalists will be presented with a finalist certificate. 13. The event is open to a wide range of original vehicles, from ‘barn finds’ to immaculate restorations. All vehicles are expected to be of roadworthy condition in their State of registration. We encourage entrants to present their vehicles in showroom condition with allowances for both factory fitted and after-market modifications, provided they are Period Correct. **

Privacy Policy
To process your vehicle entry, we collect some personal and vehicle information. This will be stored in a database and used to verify your eligibility to enter the event and to communicate with you. Details you provide (including your name, photograph(s) of your vehicle, make and model and your entry number) will also appear in our event program and on searchable published databases of Bay to Birdwood entrants. Photographs and video footage of you the entrant, your passengers and vehicle may be used for publicity and promotional purposes by the History Trust of South Australia and its partners and sponsors.
The information you provide may also be used to communicate with you regarding future events and/or provide information that we believe may be relevant to you.
Indemnity Statement
1. All motor vehicles must be substantially to manufacturers’ specifications, roadworthy and of acceptable standard of quality in the opinion of the Organisers.
2. All entrants, drivers, riders and participants enter and participate in this Run solely at their own risk.
3. The Organisers, promoters and sponsors of this event, their agents and employees will not be liable for any loss or damage suffered by or to any entrant owner, driver, rider or passenger through any circumstances.
4. I understand that my details, including my name and a photograph and description of my vehicle, will be included in the event program and database of entries, which will be publicly available online.
5. I understand that photographs and video footage of me, my passengers and vehicle may be taken by the event Organisers and the general public and may be used in accordance with the privacy policy and rules of the event, including use for publicity and promotional purposes by the History Trust of South Australia its partners and sponsors.
6. In completing and submitting this entry form to participate in the Bay to Birdwood I acknowledge that I have read, understood, and accepted the Event Regulations and Privacy Policy of this event.
